AIVANTA EVENT TICKET PURCHASE TERMS & CONDITIONS

Last Updated: October 11, 2026

These Event Ticket Purchase Terms & Conditions ("Terms") govern the purchase, registration, and use of tickets for events organized, produced, or operated by Aivanta Inc. ("Aivanta," "we," "us," or "our").

By purchasing a ticket, registering for, or attending an Aivanta event (the "Event"), you acknowledge and agree to these Terms, including our Refund Policy, Code of Conduct, and Photography, Video Recording & Media Release.

These Terms apply to all Aivanta events unless otherwise specified in writing in the applicable Event or ticket description.

1. Ticket Purchases & Refund Policy

1.1 General Admission Tickets

General Admission tickets may be refunded within seven (7) calendar days of purchase, provided the refund request is submitted at least thirty (30) calendar days before the scheduled Event date.

Both conditions must be satisfied for a refund to be issued.

After the applicable refund period, all General Admission ticket sales are final and non-refundable, except as otherwise expressly provided in these Terms or required by applicable law.

1.2 Premium & Special Experience Tickets

From time to time, Aivanta may offer Premium, VIP, Special Experience, or other designated ticket categories that are subject to additional terms, restrictions, or exceptions regarding refunds, transfers, cancellations, or rescheduling.

Such tickets may have different refund eligibility periods, transfer restrictions, cancellation provisions, or other conditions specific to the experience or ticket category.

Any such conditions will be disclosed at the time of purchase or in the applicable Event or ticket description.

These ticket-specific terms will take precedence over the general ticket policies outlined herein to the extent of any conflict, subject to applicable law.

1.3 Ticket Transfers

Unless otherwise specified for a particular ticket category, tickets may be transferred to another attendee at no additional charge.

Transfers must be requested through Aivanta or its designated ticketing provider prior to the commencement of the Event and may be subject to reasonable verification and registration requirements.

Aivanta reserves the right to establish additional transfer restrictions for designated ticket categories, provided such restrictions are disclosed at the time of purchase.

1.4 Ticketing & Processing Fees

Ticketing, transaction, service, and payment processing fees are generally non-refundable, including in the event of cancellation or rescheduling, except where otherwise required by applicable law or expressly stated at the time of purchase.

1.5 Refund Requests

Refund requests must be submitted through the official ticketing platform or the contact method provided in the Event purchase confirmation.

Approved refunds will generally be issued to the original payment method. Processing times may vary based on the payment provider and financial institution.

2. Event Cancellation, Postponement & Changes

2.1 Event Cancellation

Aivanta reserves the right to cancel an Event for reasons including, but not limited to, safety concerns, severe weather, emergencies, venue availability, operational requirements, or business considerations.

If Aivanta cancels an Event and does not reschedule it, ticket holders will receive a full refund of the original ticket purchase price, excluding applicable ticketing and processing fees to the extent permitted by law.

Any additional conditions applicable to Premium or Special Experience Tickets will be governed by the terms disclosed at the time of purchase, subject to applicable law.

2.2 Event Postponement or Rescheduling

If an Event is postponed or rescheduled, previously purchased tickets will automatically remain valid for the new Event date, unless otherwise communicated by Aivanta.

Ticket holders who are unable to attend the rescheduled Event may request a refund of the original ticket purchase price in accordance with the instructions and reasonable deadlines provided in Aivanta's rescheduling notification.

Ticketing and processing fees are non-refundable to the extent permitted by applicable law.

Premium and Special Experience Tickets may be subject to additional or different conditions expressly disclosed at the time of purchase.

2.3 Changes to Event Programming

Aivanta reserves the right to modify Event programming, speakers, presenters, performers, sponsors, partners, session times, schedules, formats, venues, and other Event elements at its discretion.

Aivanta may make such changes with or without prior notice where reasonably necessary.

Changes to individual speakers, programming, or other Event elements do not automatically entitle ticket holders to a refund, provided the Event proceeds substantially as scheduled, unless otherwise required by applicable law or expressly stated in the applicable ticket terms.

2.4 Travel & Additional Expenses

Aivanta is not responsible for airfare, hotel accommodations, transportation, meals, or other travel-related or incidental expenses incurred by attendees in connection with an Event.

In the event of cancellation, postponement, rescheduling, or other Event changes, Aivanta's responsibility will be limited as set forth in these Terms, subject to applicable law.

3. Aivanta Code of Conduct

Aivanta is committed to maintaining a safe, inclusive, respectful, and professional environment for all Event participants.

This Code of Conduct applies to attendees, speakers, sponsors, partners, exhibitors, staff, vendors, and all other participants across physical Event venues, digital platforms, networking sessions, receptions, sponsor exhibits, and related Event activities.

  • Threatening Conduct: Threats of violence, physical aggression, harassment, or behavior that creates an unsafe environment.

3.2 Safety & Zero Tolerance

Aivanta maintains a zero-tolerance policy toward violence, threats, harassment, discrimination, and other conduct that endangers the safety or well-being of Event participants.

Participants may not engage in or promote illegal activities, threatening behavior, or the distribution of obscene, sexually exploitative, or otherwise unlawful or harmful content during Event activities.

3.3 Enforcement & Consequences

Compliance with this Code of Conduct is mandatory.

Aivanta reserves the right to take appropriate action against any participant who violates these standards, including:

  • Issuing a verbal or written warning.
  • Restricting access to particular Event activities.
  • Revoking Event credentials or admission.
  • Removing a participant from the Event without refund, to the extent permitted by applicable law.
  • Referring serious violations to venue security or appropriate authorities.

Aivanta may take immediate action without a prior warning where circumstances warrant.

4. Photography, Video Recording & Media Release

By purchasing a ticket, registering for, or attending an Aivanta Event, you acknowledge and agree that photography, video recording, and audio recording may occur throughout the Event.

You consent to Aivanta Inc., its affiliates, partners, sponsors, and authorized representatives capturing, recording, reproducing, publishing, distributing, and using your image, likeness, voice, and statements in photographs, videos, audio recordings, and other Event-related materials.

Such materials may be used for promotional, marketing, advertising, editorial, publicity, and commercial purposes across all media and platforms, whether now known or developed in the future, worldwide and in perpetuity, without compensation or further approval.

To the extent permitted by applicable law, you waive any right to inspect or approve the finished materials or their use.

Aivanta will not knowingly use an attendee's likeness to falsely imply a personal endorsement of an unrelated product or service.

Attendee photography and recording must comply with Aivanta's Code of Conduct and applicable venue policies.

5. Admission, Security & Event Participation

Aivanta reserves the right to establish reasonable security procedures and admission requirements to protect attendees and ensure the safe operation of its Events.

All attendees must comply with applicable laws, venue regulations, posted safety requirements, and lawful instructions issued by Event staff or security personnel.

Aivanta may require attendees to present valid registration credentials or identification where reasonably necessary.

Tickets are valid only for the Event, date, and admission category for which they were purchased, subject to any applicable rescheduling provisions.

Aivanta reserves the right to refuse or revoke admission where an attendee violates these Terms, poses a safety or security risk, or engages in conduct that materially disrupts the Event, subject to applicable law.

6. Personal Property & Assumption of Risk

Attendees are responsible for their personal belongings throughout the Event.

Participation in in-person Events may involve ordinary risks associated with public gatherings, travel, venue facilities, and Event activities.

By attending, you agree to exercise reasonable care, comply with safety instructions, and refrain from activities that may endanger yourself or others.

To the extent permitted by law, Aivanta is not responsible for loss, theft, or damage to personal property or injuries arising from circumstances outside its reasonable control.

Nothing in these Terms excludes or limits liability that cannot legally be excluded, including liability for negligence where such exclusion is prohibited by applicable law.

7. Communications & Personal Information

By purchasing a ticket or registering for an Event, you acknowledge that Aivanta may collect and process personal information necessary to administer your purchase, confirm registration, manage attendance, provide Event updates, and communicate operational changes.

Aivanta may share information with authorized Event service providers where reasonably necessary to deliver Event services, subject to applicable privacy requirements.

Personal information will be handled in accordance with Aivanta's applicable Privacy Policy and relevant data protection laws.

Marketing and promotional communications will be subject to applicable consent requirements and available opt-out mechanisms.

8. Limitation of Liability

To the maximum extent permitted by applicable law, Aivanta's aggregate liability arising from an Event ticket purchase, cancellation, postponement, rescheduling, or related contractual claim shall not exceed the amount paid by the ticket holder for the applicable ticket.

Aivanta shall not be responsible for indirect, incidental, special, or consequential damages, including lost business opportunities, lost profits, or travel-related expenses, to the extent permitted by law.

Nothing in these Terms limits or excludes any liability, statutory consumer protection, or other legal right that cannot lawfully be limited or excluded.

9. General Provisions

9.1 Event-Specific Terms

Certain Events, ticket categories, Premium Experiences, or promotional offers may be governed by supplemental terms and conditions.

Where expressly disclosed at the time of purchase, such terms will take precedence over conflicting provisions of these general Terms, subject to applicable law.

9.2 Changes to These Terms

Aivanta reserves the right to update or modify these Terms periodically.

The version in effect at the time of ticket purchase will generally govern that purchase unless otherwise required by law or expressly agreed to by the ticket holder.

9.3 Severability

If any provision of these Terms is determined to be invalid or unenforceable under applicable law, the remaining provisions shall remain in effect to the fullest extent permitted by law.

9.4 No Waiver

Aivanta's failure to enforce any provision of these Terms shall not constitute a waiver of its right to enforce that provision or any other provision in the future.
